Make the workflow visible
Map your own process: enquiry, proposal, revision, approval, invoice, payment and any reminder. Look for software that supports the important transitions. An attractive PDF alone tells you little about the work that follows.
Test a change to the proposal
Change quantities or a description in an example and check whether you can distinguish versions. Check who can see the approval and how you preserve the agreed content. Do not use real customer information in an initial trial.
Check exceptions
Include a partial invoice, correction or credit note if you use these in your work. Examine whether an accounting integration prevents duplicate work or merely forwards files. Ask about electronic invoicing requirements if your customers need it.
Compare the complete workflow
Alongside subscription costs, include the time needed for setup, templates and duplicate entry. A standalone invoicing package may be sufficient; broader accounting software may fit better if you repeatedly enter the same information. Let the steps you need determine your choice.
